Remo & Co Sp. z o.o ("Remo&Co", "we", "us") is committed to protecting the personal data of our clients, carriers, and website visitors. This Privacy Policy explains how we collect, use, store, and share your data in connection with our B2B road freight services across France and Europe. We comply with the General Data Protection Regulation (EU) 2016/679 (GDPR) and applicable Polish and EU data protection legislation.

Data We Collect
In the course of providing road freight services, we collect and process the following categories of data:
- Business contact information: company name, VAT number, address, email, phone number of client and carrier representatives
- Shipment data: pickup and delivery addresses, cargo descriptions, weights, dimensions, and special handling requirements
- GPS telematics data: real-time vehicle location, route tracking, estimated arrival times provided by carrier tracking systems
- Financial data: invoice amounts, payment references, bank account details (IBAN), factoring company information
- Document data: carrier invoices, CMR consignment notes, transport orders, and delivery confirmations processed through our AI-powered extraction system
- Platform usage data: login timestamps, language preferences, and feature usage within the Remo&Co client portal
How We Use Your Data
We process your data to: arrange and manage freight transport between clients and carriers; generate and compare price quotes using our similarity-matching algorithm; verify compliance with VAT regulations including exchange rate validation (NBP/BNR); extract and structure data from transport documents; monitor shipment progress via GPS telematics; process payments and manage invoicing; and communicate with you about your shipments, quotes, and account.
Legal Basis for Processing
We process your data on the following legal grounds: (a) Contract performance — processing necessary to fulfil road freight agreements with clients and carriers; (b) Legitimate interest — improving our services, fraud prevention, and ensuring network quality; (c) Legal obligation — compliance with French commercial law, tax regulations, and transport legislation including CMR Convention requirements; (d) Consent — for optional marketing communications, which you may withdraw at any time.
Data Sharing
We share your data with: transport carriers and subcontractors assigned to your shipments; customs and regulatory authorities when required by law; factoring companies when carriers use invoice factoring (cesja); our technology providers including Microsoft Azure and cloud hosting; and our banking partners for payment processing. We do not sell your personal data to third parties.
International Data Transfers
Your data is primarily processed within the European Economic Area (EEA). When we engage carriers or partners outside the EEA, we ensure adequate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by the European Commission.
Data Retention
We retain your data for the following periods: accounting and tax records (invoices, payment data) — 5 years as required by Polish tax law (7 years for French operations under French commercial law); transport documents (CMR, delivery confirmations) — 5 years per CMR Convention requirements; commercial data (quotes, correspondence) — 3 years from last interaction; GPS tracking data — 90 days after delivery completion; platform usage logs — 12 months.
Your Rights
Under the GDPR, you have the right to: access your personal data and obtain a copy; rectify inaccurate or incomplete data; erase your data (subject to legal retention obligations); restrict processing in certain circumstances; data portability for data you have provided to us; object to processing based on legitimate interest; and lodge a complaint with the UODO (Urząd Ochrony Danych Osobowych), the Polish data protection authority, or the CNIL for matters related to our French operations.
