Smart tachograph 2: a shipper’s checks for 2026
Check vehicle confirmation, shipment documents and loading delays when planning a delivery subject to smart tachograph 2 rules.

What is already required in September 2026?
Smart tachograph version 2 is an equipment and recording requirement, not a promise of faster transport. The Commission confirmed that, from 19 August 2025, EU-registered heavy-duty vehicles operating in other Member States under the relevant EU rules must have version 2. The final retrofit deadline for first-version smart devices was 18 August 2025. See the Commission's retrofit notice.
Since 1 July 2026, affected EU-registered light commercial vehicles above 2.5 and up to 3.5 tonnes in international goods transport for hire or reward or cabotage are also covered. The threshold uses maximum permissible mass including any trailer or semi-trailer, not cargo weight. Exemptions and the regime for the complete route still matter. The van rules guide explains the cumulative own-account conditions and mission checks.
Understand what the device tells you
The tachograph records driving, breaks, rest and other activities. Version 2 adds automatic border-crossing recording and other functions that support enforcement. The driver still has to use the equipment correctly. The Commission's tachograph overview explains its purpose.
Those records are different from a shipment status update. Do not assume that a version 2 device gives customers a live tracking link, proves a pallet was accepted, or confirms that the vehicle is suitable for the goods. Agree the updates and proof of delivery you need separately.
Ask for confirmations linked to this booking
Ask the transport operator to confirm the allocated vehicle, the required tachograph version and a feasible driver plan. Match the confirmation to the job reference so that a later vehicle substitution is visible. A generic statement about a fleet does not identify the vehicle arriving at your warehouse.
| Booking question | Useful confirmation |
|---|---|
| Which vehicle will collect? | Vehicle identification and notification if the allocation changes. |
| Is the required equipment available? | Operator confirmation for this vehicle and operation. |
| Can the receiving slot be met? | A plan including previous driver activity and loading time. |
| Which shipment records are needed? | Agreed transport document, references and proof-of-delivery process. |
A signed transport document and a tachograph record answer different questions. Keep the shipment reference consistent across the quotation, warehouse instructions and delivery documents. Ask for targeted clarification when something conflicts rather than treating a photograph of the device as a complete compliance file.
Protect the delivery slot at the loading point
Send the real cargo-ready time, handling requirements and the receiver's closing time before booking. Include vehicle approach, site access and expected loading duration in the discussion. Previous driving and other work can affect the available plan even when your own journey looks short.
Suppose the collection warehouse delays release after the driver arrives. Inform the operator with the actual times and ask for a revised delivery estimate. Do not tell the driver to classify the delay as rest simply to preserve the original slot. The operator and driver must record the actual activity correctly, as the ELA guidance explains.
Use the loading-delay guide to agree who can approve a later arrival. Record the receiver's decision and send it to both sites so that the updated plan is shared.
Recheck changes to the route or operation
An extra collection, domestic delivery abroad or changed border route can alter the compliance assessment. Tell the operator before agreeing it with the customer. Cabotage and driver-posting questions require their own assessment; the presence of a tachograph does not answer them.
For journeys extending outside the EU/EEA and Switzerland, ask the operator to identify the applicable regime for the whole movement. Do not apply a retrofit summary to every international route without checking its scope.
Turn the checks into a usable transport request
Provide addresses, dates, local opening hours, cargo dimensions and weight, loading arrangements and the delivery constraint. Ask what remains to be confirmed before acceptance. Send your shipment details to Remo&Co to request a quotation with clear vehicle, timing and document assumptions.
